FloScale ("us", "we", or "our") operates the floscale.ai website and the FloScale platform (collectively, the "Service"). This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service and the choices you have associated with that data.

Information We Collect

Personal Data

While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. This may include:

  • Email address
  • First name and last name
  • Company name
  • Phone number
  • Job title
  • Usage data

Usage Data

We may also collect information on how the Service is accessed and used. This may include information such as your computer's Internet Protocol address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.

Cookies and Tracking

We use cookies and similar tracking technologies to track activity on our Service and hold certain information. Cookies are files with a small amount of data which may include an anonymous unique identifier. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.

We set a first-party cookie (fs_attr) recording how you arrived at our site, such as the referring site and campaign tags, so we know which channels work; it contains no personal information.

We use Google Analytics to understand how visitors use our site. Google sets cookies to measure pages viewed and visits across floscale.ai and our app, and processes this data on our behalf. You can opt out with the Google Analytics opt-out browser add-on.

How We Use Your Information

FloScale uses the collected data for various purposes:

  • To provide and maintain our Service
  • To notify you about changes to our Service
  • To allow you to participate in interactive features of our Service when you choose to do so
  • To provide customer support
  • To gather analysis or valuable information so that we can improve our Service
  • To monitor the usage of our Service
  • To detect, prevent, and address technical issues
  • To provide you with news, offers, and general information about our products and services, unless you have opted not to receive such information

Connected Email and Calendar Accounts (Google and Microsoft)

FloScale lets you connect a Google account (Gmail and Google Calendar) or a Microsoft account (Outlook and Microsoft 365) so the Service can send your outreach, notice when a prospect replies, and book meetings into your calendar. You choose what to connect, and you can disconnect at any time.

What we access

  • Your email address and name, to identify the account you connected.
  • Sending email, to send the outreach emails you create or schedule in FloScale, from your own address.
  • Reading email, to detect replies to the emails FloScale sent for you, so a sequence stops as soon as someone answers and the reply appears in your FloScale inbox.
  • Your calendar availability (free and busy times only), so the booking pages we host for you only offer times you are free.
  • Creating calendar events, to add meetings that people book with you to your calendar, with a video meeting link where you choose one.

How we use it

We use this data only to provide the features you can see in FloScale: sending your emails, recognising replies to them, showing those replies to you, reading your availability and creating the meetings people book. When we read your mailbox, we look only for replies to conversations FloScale started. We do not read, store or analyse other emails in your mailbox. We read only whether calendar time is free or busy; we do not read the titles, attendees or contents of your existing events.

To show you replies and suggest next steps, the content of a reply may be processed by automated tools, including artificial intelligence, acting on our behalf. These tools process the content only to perform that task for you.

We do not use data from your Google or Microsoft account to develop, improve or train generalised artificial intelligence or machine learning models, and we do not allow any service provider acting for us to do so.

We do not use this data for advertising, we do not sell it, and people at FloScale do not read it unless you ask us to for support, it is needed for security, or the law requires it.

How we store and protect it

We store the access tokens that keep your account connected, your connected email address, the emails you send through FloScale, and the replies to them. We do not store other emails from your mailbox or the details of your calendar events, apart from the meetings booked through FloScale. Stored data is encrypted in transit and at rest and is accessible only to the systems that run the Service and to authorised staff who need it.

Who we share it with

We share this data only with service providers who host and run the Service for us, under contracts that limit their use of it to providing the Service, or where the law requires it. We never sell it or transfer it for any other purpose.

How long we keep it and how to delete it

  • Disconnecting: use Disconnect on your account's email or calendar settings in FloScale at any time. We immediately revoke our access with Google (for Microsoft, we delete our access and you can also remove FloScale at myapps.microsoft.com) and delete the stored access tokens.
  • Emails and replies: kept while your FloScale account is active so you can see your conversation history, and deleted within 30 days of your account closing or of your written request.
  • Calendar data: availability is read when needed and not stored. Meetings booked through FloScale are kept with the lead record while your account is active and deleted within 30 days of your account closing or of your request.
  • You can also remove FloScale's access directly from your Google account at myaccount.google.com/permissions.
  • To request deletion of any of this data, email privacy@floscale.ai. We will confirm and complete deletion within 30 days.

Google API Services User Data Policy

FloScale's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data Storage and Security

The security of your data is important to us. We store your data using industry-standard encryption and security practices. Our infrastructure is hosted on secure cloud platforms with appropriate access controls. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.

Data Retention

We keep your personal data only for as long as your account is active or as needed for the purposes set out in this Privacy Policy. When your account closes, we delete or anonymise your personal data within 30 days, except where we must keep it longer to comply with our legal obligations, resolve disputes or enforce our agreements. Data from connected Google and Microsoft accounts follows the specific periods set out above.

Third-Party Services

We may employ third-party companies and individuals to facilitate our Service, provide the Service on our behalf, perform Service-related tasks, or assist us in analysing how our Service is used. These third parties have access to your personal data only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.

Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of any inaccurate personal data
  • Request deletion of your personal data (email privacy@floscale.ai; we respond within 30 days)
  • Object to processing of your personal data
  • Request restriction of processing your personal data
  • Request transfer of your personal data
  • Withdraw consent at any time

Australian Privacy Act

If you are an Australian resident, you have certain rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We are committed to complying with these requirements. You may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have breached your privacy rights.

Children's Privacy

Our Service does not address anyone under the age of 18. We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your child has provided us with personal data, please contact us.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
